How we handle your information.

The Hawaiʻi Immigration & Inclusion Conference ("HIIC," "we," "us") is an initiative of the Hawaiʻi Coalition for Immigrant Rights (HCIR), which is fiscally sponsored by the Hawaiʻi Children's Action Network (HCAN), a registered 501(c)(3) nonprofit. This policy explains what information we collect through this website, how we use it, and the choices you have.

Information we collect

We only collect information you choose to give us through the forms on this site:

• Registration form: first and last name, email address, and phone number (required); and, if you choose to share them, your organization, role or sector, dietary needs, accessibility needs, and any notes.
• Volunteer form: first and last name, email address, phone number, the volunteer roles you are interested in, your availability, and any notes.

We do not collect or store your payment or credit card information on this site. Registration is by donation, and payments are processed on HCAN's secure donation page (powered by NationBuilder). Any card and billing details you enter there are handled by that payment processor under their own privacy practices.

How we use your information

• To process your conference registration and confirm your attendance.
• To coordinate volunteers and follow up about volunteer roles.
• To communicate with you about the conference, including logistics and updates.
• To accommodate dietary and accessibility needs you tell us about.

How your information is stored

Form submissions are stored in a private Google Sheet within Google Workspace. Access is limited to HIIC and HCIR organizers who need it to plan and run the event.

How we share information

We do not sell or rent your information. We share it only with:

• HIIC, HCIR, and HCAN organizers involved in running the conference;
• Service providers that help us operate the site — Google (form storage), our website host (Vercel), and NationBuilder (donation processing) — only as needed to provide those services;
• Authorities if required by law.

Cookies and tracking

This website does not use advertising or tracking cookies, and we do not run third-party analytics or marketing pixels on it. Fonts are loaded from Google Fonts, which does not set cookies for this purpose.

Data retention

We keep your information for as long as needed to plan and run the conference and to follow up afterward, and then delete it. You can ask us to delete your information sooner at any time.

Your choices and rights

You may ask us to access, correct, or delete the information you have submitted. To make a request, email info@hicir.org and we will respond as promptly as we can.

Children's privacy

This site is intended for adults registering or volunteering for the conference. We do not knowingly collect personal information from children.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date at the top of this page.
